Salesforce De-Duplication: Paid Applications

“Salesforce will automatically prevent duplicates, won’t it?” – One of the most asked questions I get as a Salesforce Implementation Consultant. My previous blog covered the free application options, but if those weren’t as advanced as you would like, here are my top picks of the paid applications.

Option 1: DupeBlocker

Starting with possibly the most well-known option, Dupeblocker is an application which will automatically check every record inserted or updated in Salesforce against the existing database.

DupeBlocker rules can be developed for any Salesforce object, whether standard or custom. The highly flexible matching criteria is a real selling point for DupeBlocker, as well as its flexible rule actions such as blocking records from being created, allowing records to be created with duplicate warnings, automatic merges or conversions as well as redirects to custom Visualforce pages.

The main downside of DupeBlocker (as with all of the applications I have looked into) is that is not Salesforce1 ready, which, for the price, is a little off-putting. There is also an additional price to pay for the functionality to de-dupe a CSV file of new records against the data already existing in Salesforce (CRMFusion’s PeopleImport application). DupeBlocker is probably the most flexible product on the market in terms of matching criteria and actions upon record inserts and updates, but, to no surprise, it is also the most expensive application available.

Option 2: Ring Lead

On the other end of the pricing spectrum, we have RingLead, a company who provide a full suite of de-duplication tools for Salesforce, all of which can be installed separately. The applications cover:

  • Unique Entry (Paid): An as-you-type duplicate warning for Leads, Contacts and Accounts
  • Data Cleanse (Paid): An application which runs on all existing Leads, Contacts and Accounts to highlight potential duplicates and functionality to merge records together
  • Unique Upload (Paid): A way in which to make sure uploads of data do not contain duplicate Leads, Contacts or Accounts
  • DupeDive (Free): A scan of all Leads in the system with a custom dashboard interface of the results
  • Unique Web-to-Lead (Paid): Can be used for web-to-lead forms to update/overwrite/merge existing Leads and Contacts with the new data being entered

I like that this option is really flexible, allowing you to download the specific applications you want to use. There isn’t much information on exact pricing (you can contact: sales@ringlead.com for a quote), but it seems to be a much cheaper option than the likes of DupeBlocker.

Having said that, this tool will not give you such sophistication or flexibility in terms of matching criteria and actions. It is also limited to work with Leads, Contacts and Accounts and again, this tool is not Salesforce1 ready. This product could be really useful for those of you who have a very limited budget but where the free tools are lacking slightly in functionality around existing data cleanse and data loading. It’s also great for those who love the idea of the as-you-type duplicate identification!

Option 3: Cloudingo

Finally, with the middle of the range pricing option, we have Cloudingo. This tool is brought to you by Symphonic Source, the same company who created DupeCatcher (the free app mentioned in my previous blog post). Both DupeCatcher and Cloudingo are designed to work together as a complete solution to solve all of your de-duplication worries. Whilst DupeCatcher takes care of blocking duplicate records entering the system, Cloudingo syncs with Salesforce data and highlights potential duplicate records, which are displayed on Cloudingo’s own custom dashboard.

The main downside of this tool is that (again!) it is not yet Salesforce1 ready and does only support Leads, Contacts and Accounts at present. However, once Cloudingo is installed alongside DupeCatcher, it does seems to provide the most complete offering for the price in terms of combining the best de-duping functionality: record blocking, existing data scanning, data loading, and record merging.

I would suggest that you check with the application vendors before purchasing any of the above products as to the roadmap plans for Salesforce1 support, if this is a requirement for your organisation.
